State the delivery route and storage expectation
Provide the intended transport modes, destination environment and likely period before installation. Identify whether the unit will remain packed, be transferred between storage locations or wait outdoors under approved arrangements. Ask the supplier to propose preservation for those stated cases. A general export-packing description does not establish support for unlimited storage in any environment. Keep uncertainties visible so the project can review the arrangement if delivery or installation plans change.
Identify the supplied lubricant and internal condition
Ask the manufacturer to state whether the gearbox is shipped with operating lubricant, preservation treatment or another defined condition. Identify components requiring separate preparation or documentation. Do not infer readiness to run from a closed housing or an oil label on the package. Obtain the approved instructions and responsibilities for the transition from transport or storage condition to installed service, without substituting a generic filling or rotation practice for configuration-specific manufacturer requirements.
Define packaging and external protection
Request the packing boundary, protected openings and the handling and identification information included with the shipment. Coordinate any separately packed auxiliaries, instruments or loose parts. The supplier should identify what must remain protected during transport and what checks are required at receipt. Compare packing options against the actual route and storage case rather than assuming a crate alone provides all required environmental protection or preserves every service component for the same period.
Assign receipt and continuing-storage responsibilities
Agree the condition records, damage reporting and document review required when the equipment changes custody. Have the responsible project team establish the inspections and preservation activities needed while storage continues. Identify the resources and supplier support required for that work. A purchaser should not discover after a delayed installation that maintaining preservation depended on unpriced site tasks or records. Keep the condition and responsibility boundary clear without making unsupported claims about indefinite protection.
Retain the release-to-service evidence
Include the manufacturer documents, receipt record, preservation history and required installation checks in the handover file. State who confirms readiness before connection and commissioning. If storage conditions or duration depart from the accepted plan, obtain supplier review of the consequences rather than assuming the original preservation remains sufficient. The purchase package should provide a practical route from the delivered condition to an inspected installed configuration, with warranty and support conditions taken from the written agreement.
Compare the same delivery condition and named point
Normalize offers for packing, preservation, freight responsibilities and site handling at the agreed delivery boundary. Trade terms do not replace a technical description of how the gearbox is protected or prepared. Separate shipping dimensions and mass from the operating arrangement, including any auxiliaries shipped loose. A complete comparison should show what arrives, its preservation condition and the work needed before installation, rather than ranking prices that assume different amounts of transport and storage support.
Put these items side by side in the bid review
| Purchase item | Question to resolve | Evidence to request |
|---|---|---|
| Preservation basis | Which route and storage cases apply? | Accepted delivery-condition schedule |
| Equipment status | Operating oil or preservation condition? | Manufacturer release documents |
| Responsibility | Who maintains and verifies the condition? | Receipt and storage record plan |
Suggested wording for the quotation request
Quote preservation and packaging for the stated route, storage environment and expected installation timing. Identify shipped lubricant condition, protected interfaces, loose components and required receipt or storage activities. Provide manufacturer release-to-service documents and separate transport and site responsibilities.
Assess each option within the complete gearbox drive train: prime mover, transmission, couplings, driven equipment, mounting and supporting oil system. Preserve the accepted load schedule and interface drawings when comparing suppliers or approving changes. A component rating should not be treated as proof of the complete installed arrangement. Obtain configuration-specific documents from the responsible designers, and retain the agreed exclusions and verification records with the equipment order. Installation, shifting, testing and maintenance must follow approved equipment instructions and site procedures rather than a procurement comparison.

Buyer questions
Does export packing establish unlimited outdoor storage capability?
No. Agree the supported environment, duration and continuing preservation requirements.
Can a delivered gearbox be assumed ready to run?
No. Confirm the shipped condition and complete the approved installation and release-to-service requirements.
